Overview

Welcome to ZANISS SOFTWARES ("we", "us", or "our"). We are a custom software development company operating at zanisssoftwares.com, providing bespoke software solutions, web and mobile application development, technical consulting, and related services to businesses and individuals.

This Privacy Policy explains what personal and project-related information we collect, how we use it, who we share it with, and how we protect it — both in the context of our website and during active client engagements. By using our website or engaging our services, you agree to the practices described in this policy.

Our commitment: We collect only what is necessary to deliver great software and run our business responsibly. We do not sell your data, and we treat client project data with the same confidentiality as a professional services agreement demands.

Information We Collect

We collect information in two primary ways — through your interaction with our website, and through the course of a project engagement.

Contact & Inquiry Information — When you reach out to us via our website contact form, email, or social channels, we collect:
  • Your full name and email address
  • Company name and job title (if provided)
  • Phone number (if provided)
  • Project description, requirements, or questions you share with us
Website Usage Data — Automatically collected when you visit zanisssoftwares.com:
  • IP address, browser type, and device information
  • Pages visited, time spent, and referral source
  • Geographic location (country/city level only)
  • Crash reports and performance diagnostics
Communication Records — Emails, messages, and attachments exchanged with our team are stored to maintain project context, enable follow-ups, and improve service quality.
02

Client & Project Data

As a software development company, we frequently handle data that goes beyond standard personal information. During the course of a project, clients may share materials such as:

  • Business logic, workflows, and process documentation
  • Database schemas, existing source code, or system architecture details
  • Access credentials for third-party platforms, servers, or APIs (shared for integration purposes)
  • Sample or test datasets that may contain end-user records
  • Brand assets, content, and proprietary business information
Handling of Sensitive Project Data: All client-shared materials are treated as strictly confidential. They are accessed only by team members directly involved in the project and are never used for any purpose outside of delivering the agreed services. Access credentials shared with us are stored securely and deleted upon project completion or at client request.
End-User Data in Delivered Software: If the software we build for you will process personal data of your end users, you — as the data controller — are responsible for ensuring lawful collection and use of that data. We will implement privacy-conscious technical practices in the software upon your instruction, but we are not liable for your downstream data handling.
03

How We Use Your Information

We use the information we collect strictly for the following legitimate purposes:

  • Responding to Inquiries: To evaluate your project needs, provide quotes, and communicate about potential engagements.
  • Project Delivery: To build, test, and deliver the software solutions agreed upon in the Statement of Work (SOW) or project proposal.
  • Project Communication: To keep you informed about progress, milestones, decisions, and deliverables throughout the development lifecycle.
  • Technical Support: To resolve bugs, provide warranty support, or assist with post-delivery maintenance as agreed.
  • Invoicing & Finance: To issue invoices, process payments, and maintain financial records as required by law.
  • Legal Compliance: To meet obligations under applicable Indian and international laws, including tax regulations and contractual duties.
  • Website Improvement: To analyze how visitors use our website so we can improve content, performance, and user experience.
  • Portfolio & Marketing: With your consent or as permitted under our Terms, to reference completed projects in our portfolio and case studies.
We do not use your personal or project data for automated decision-making, profiling, or any purpose beyond what is described in this policy.
04

Sharing of Information

We do not sell, trade, or rent your personal or project data to third parties. We may share information only in the following limited circumstances:

  • Development Team Members: Project data is shared internally only with the developers, designers, and project managers directly assigned to your engagement, under strict confidentiality obligations.
  • Trusted Technology Partners: We may engage vetted third-party contractors or specialist developers for specific components of a project. These partners are bound by confidentiality agreements and may not use your data for any other purpose.
  • Infrastructure & Tool Providers: We use third-party services for project management, communication, cloud hosting, and development tooling (e.g., version control, CI/CD pipelines). These providers process data only as necessary to provide the tools and are bound by their own privacy commitments.
  • Legal Requirements: If required by law, court order, or a lawful government authority, we may disclose information to the extent legally mandated.
  • Business Transfers: In the event of a merger, acquisition, or company restructure, client data may be transferred as part of that transition, with prior notification where possible.
We never disclose client project details, business logic, source code, or confidential materials to any party not involved in your project delivery.
05

Cookies & Tracking Technologies

Our website uses cookies and similar technologies to understand visitor behavior, improve performance, and deliver a better browsing experience.

Types of cookies we use:

  • Essential Cookies: Necessary for the website to function correctly — such as remembering form state and security tokens.
  • Analytics Cookies: Help us understand how visitors navigate our site (e.g., pages visited, time on site) using tools like Google Analytics. Data collected is aggregated and anonymized.
  • Preference Cookies: Store your settings (e.g., language or theme) to personalize your experience on return visits.
You can manage or disable cookies through your browser settings at any time. Disabling essential cookies may affect site functionality. A cookie consent notice will be presented on your first visit.
06

Data Security

We apply industry-standard technical and organizational safeguards to protect personal and project data from unauthorized access, disclosure, alteration, or loss.

Encryption
TLS/SSL in transit; encrypted storage for credentials
Access Control
Role-based — only assigned team members access data
Version Control
Private repositories with access logs and change history
Credential Handling
Encrypted vaults; deleted post-project

While we take every reasonable precaution, no method of transmission over the internet is 100% secure. In the unlikely event of a data breach affecting your information, we will notify you promptly and take immediate remedial action.

07

Data Retention

We retain data only for as long as necessary to fulfill the purpose it was collected for, or as required by law:

  • Inquiry & Pre-project Communications: Retained for up to 1 year if no engagement follows, or until you request deletion.
  • Project Communications & Documentation: Retained for up to 3 years after project completion to support post-delivery queries, warranty claims, or dispute resolution.
  • Source Code & Deliverables: Transferred to the client upon full payment. Internal copies are deleted within 90 days of final delivery unless otherwise agreed.
  • Client Credentials: Deleted immediately upon project completion or upon client request, whichever comes first.
  • Financial Records (Invoices): Retained for up to 7 years to comply with Indian tax and accounting regulations.
  • Website Analytics Data: Retained in anonymized, aggregated form and may be kept indefinitely for trend analysis.

Upon expiry of the relevant retention period, data is securely deleted or irreversibly anonymized.

08

  • Right to Access: Request a copy of the personal data we hold about you.
  • Right to Rectification: Ask us to correct inaccurate or incomplete information.
  • Right to Erasure: Request deletion of your personal data where there is no overriding legal obligation to retain it.

  • Right to Object: Object to processing based on legitimate interests or for direct marketing purposes.

To exercise any of these rights, contact us at info@zanisssoftwares.com. We will respond within 30 days. Note that certain project-related data may be subject to contractual or legal retention requirements that limit immediate deletion.
09

Children's Privacy

Our website and services are directed exclusively at businesses and individuals aged 18 years and above. We do not knowingly collect personal information from minors.

If the software we develop for a client is intended to serve minors, it is the client's responsibility — as the data controller — to implement appropriate legal safeguards for child data protection under applicable law. We will implement technical controls upon the client's instruction but bear no independent liability for the client's data handling practices.

Our website may contain links to third-party websites, tools, or platforms — such as technology partners, open-source projects, or professional resources. Clicking these links may take you to external sites governed by their own privacy policies.

ZANISS SOFTWARES has no control over and accepts no responsibility for the privacy practices of external websites. We encourage you to read the privacy policy of any site you visit before sharing personal information.
